Billing Roles and Seats
Vuon workspace roles control both product access and whether a member uses a paid seat. This page explains how to choose roles when inviting, upgrading, or removing members.
Overview
Pro and Max are paid-user plans: each paid user includes a monthly credit allowance, and the workspace can buy or consume additional Vuon-hosted usage. Enterprise plans use custom commercial terms and are not managed as self-serve per-seat billing in the same way.
Some administrative roles can manage the workspace without consuming a paid product seat. Use those roles on Pro and Max when someone needs operational access but should not use product functionality.
Use roles this way:
- Admin - for people who manage the workspace and also use Vuon.
- Member - for people who use Vuon but do not manage workspace settings.
- Viewer - for people who need read-only access without running product mutations.
- Unpaid admin - for Pro or Max administrators who manage settings but do not use a paid product seat.
Roles
Admin
Admins can change workspace settings, invite and remove members, manage integrations, and use the product. Admins are billable seats.
Member
Members can use Vuon for regular product workflows, but cannot manage workspace settings or billing. Members are billable seats.
Viewer
Viewers can inspect workspace content without running product mutations. Viewers are not billable seats.
Unpaid admin
Unpaid admins can manage workspace settings on Pro and Max without using a paid product seat. This role is intended for operations, finance, or IT owners who need administrative access but should not consume product usage.
Enterprise plans use custom contract terms rather than self-serve per-seat billing, so Unpaid admin is not used to exclude Enterprise administrators from seat pricing.
Billable seats
A billable seat is a member slot that can use paid product functionality on a paid-user plan such as Pro or Max. Admin and Member roles count toward billable seats. Viewer and Unpaid admin roles do not.
The billable seat count in workspace settings reflects the current seat quantity for the Pro or Max subscription when billing data is available.
Prepaid credits
Pro and Max workspaces use prepaid credits for product usage. Credits are included with the plan or purchased before usage, then consumed as the workspace runs product workflows. Enterprise plans may use committed usage or other custom terms.
Changing a member role does not refund already purchased credits. Removing or downgrading a member updates future access and seat management, but prepaid credits remain on the workspace.
Changing roles
When you add a new product user, assign Admin or Member depending on whether they need to manage the workspace. When someone only needs oversight or setup access on Pro or Max, assign Unpaid admin. When someone should only inspect workspace content, assign Viewer.
If a member is downgraded and later upgraded again, they become billable again when assigned a billable role. The workspace keeps its prepaid credit balance; role changes do not create credit refunds.
Common questions
Are pending invitations billed?
No. A pending invitation does not use a billable seat until it is accepted and the user has a billable role.
Are admins always billable?
Regular Admins are billable on Pro and Max because they can use the product. Pro and Max workspaces can also use Unpaid admin for administrative access without product usage. Enterprise admin access is governed by the Enterprise agreement rather than self-serve per-seat billing.
Do removed users refund credits?
No. Removing a user stops their workspace access and updates future seat management, but prepaid credits remain with the workspace.
Which role should finance or IT use?
Use Unpaid admin on Pro or Max when finance or IT needs workspace administration but should not use product functionality. For Enterprise, manage admin access according to your Enterprise agreement.
